In short
A purchase order records what you bought from a supplier: the items, dates, credit terms, notes and the supplier's bill. An unpaid order is a balance you owe and appears in the Payables report until you mark it paid.
The problem it solves
Supplier bills live in a drawer and credit purchases live in someone's head, so nobody can say what is owed to whom at the end of the month.
How it works
4 steps, start to finish
-
1
Pick the supplier
Choose an existing supplier or Add New Supplier without leaving the form.
-
2
Add the items
Add at least one item, with the order date, expected delivery date and account.
-
3
Attach the bill
Upload the supplier's bill under Bills so it stays with the order.
-
4
Pay and receive
Mark as paid when you settle; until then the balance sits in Payables.
