In short
With Track batches switched on for an item, every receipt records a lot number, and optionally manufacture and expiry dates, a unit cost and a batch barcode. The POS sells the batch with the earliest expiry first, and each lot has its own page with its stock, value, price and movements.
The problem it solves
Two deliveries of the same rice at two different costs and two different dates become one number on a shelf. When one of them is recalled or goes off, nobody can say how much of it is left.
How it works
4 steps, start to finish
-
1
Turn on Track batches
In the item's Advanced settings. Add Track expiry dates and a shelf life if the item goes off.
-
2
Receive the delivery
In Receive stock, enter the quantity, unit cost, lot number and dates, then Post receipt.
-
3
Sell earliest expiry first
The POS picks the batch that expires first; Batch Selection lets the cashier change it when there is a reason.
-
4
Follow the lot
Each lot page shows its supplier, dates, cost, value on hand and every movement in and out.
In detail
What batches and lots does for you
-
A lot per receipt
Lot number, manufactured and expiry dates, supplier and unit cost on every delivery.
-
FEFO at the till
Earliest expiry is used unless you change it, with “Use earliest expiry first” one tap away.
-
Batch barcode
Give a lot its own code, and scanning it at the POS puts that exact batch on the line.
-
Batch pricing
Keep the catalogue price, mark a batch down, or fix its price, never above the catalogue price.
-
Returns by batch
Return to supplier from a chosen lot, and restock a customer return to the batch it was sold from.
-
Cost per batch
Each receipt updates the average cost, and each sale records what that batch cost you.
-
No. Track batches is switched on per item, so loose vegetables can stay simple while packaged goods carry lot numbers.
-

-
No. Expired and quarantined stock is not counted as available, and the POS says it cannot be sold.
-
No. Batch prices apply in store only; the online store shows the catalogue price.
